Position Summary
Plan, coordinate, and deliver IT projects for a law firm. Serve as technical liaison between attorneys, legal staff, and IT teams. Manage project scope, schedule, budget, and deliverables. Perform database queries and scripting to support project requirements and validate deliverables.
Job Duties and Responsibilities
Project Planning: Develop project charters, schedules, budgets, and success criteria for legal technology initiatives. Define scope, technical requirements, and assumptions with firm leadership and practice teams.
Requirements Analysis: Facilitate requirements sessions with attorneys and staff for case management systems, document platforms, and eFiling interfaces. Write SQL queries to extract and analyze data from legal databases to validate requirements and assess migration complexity. Document user stories and acceptance criteria.
Execution Coordination: Coordinate application, database, infrastructure, and security teams plus legal technology vendors. Write Python scripts to automate project reporting, data validation during integration, and testing artifacts. Monitor deliverables; track vendor SLAs; remove blockers.
Database and Migration: Use SQL queries to validate data integrity during case data migration between systems. Write Python scripts to automate data extraction, transformation, and loading (ETL) for court filings, client records, and document metadata. Verify data accuracy and compliance.
Testing and UAT: Plan and coordinate testing activities. Develop test plans and scripts. Use SQL and Python to generate test data sets. Track defects and coordinate resolution. Obtain UAT sign-offs.
Document Automation: Write Python scripts and Excel macros to automate document processing including OCR validation, metadata extraction, format conversion, and eFiling compliance. Develop automated workflows for Bates stamping and PDF generation.
Risk and Change Management: Maintain risk register and issue log. Assess risks and mitigation strategies. Facilitate change control meetings; document change requests and approvals. Track scope, schedule, and budget changes.
Deployment: Develop deployment plans and cutover checklists. Coordinate go/no-go checkpoints. Write SQL scripts to validate system configuration and data accuracy post-deployment. Monitor performance during early-life support.
Compliance: Ensure projects follow firm policies for attorney-client confidentiality and data protection. Coordinate security reviews. Verify role-based access controls, encryption, and audit logging are implemented.
Training and Reporting: Coordinate user training; create training materials and guides. Prepare project status reports and dashboards using Excel and SQL queries. Generate project metrics including schedule variance and budget tracking.
Vendor Management: Manage legal technology vendors. Evaluate proposals and SOWs. Coordinate procurement of software licenses and cloud services. Monitor vendor deliverables and track invoices.
Tools
MS Project or/and Jira, Excel including VBA macros, SQL databases including MySQL, PostgreSQL, and MS SQL, Python, legal case management software, document management systems, eFiling platforms, and Adobe Acrobat DC Pro.
Majors and Fields of Study Required
BA/BS degree in Project Management; Business Administration with IT emphasis; Management Information Systems; Finance; Accounting; Business; Engineering; or Systems Technology. MBA preferred.
Minimum Requirements
Five (5) years of IT project management experience, including SQL database queries, Python scripting for automation, project planning, budgeting, vendor coordination, data processing, and stakeholder communication.
Special Skills / Requirements
Experience with large-scale data processing and analyzing, reporting technologies such as SQL and Excel pro formas, as well as other data processing systems, such as Oracle or SAP, is preferred. Professional qualification/certificate in Computer Science and/or an MBA (Master of Business Administration), specialized MBA preferred.
Geographic Area of Employment and Travel
The primary worksite is Gabrovski Law Firm, 2933 NW 156th Street, Edmond, Oklahoma 73013. On-site court and office support may be required in Oklahoma County (Oklahoma City), Cleveland County (Norman), and regional courthouses. Frequency: one (1) to four (4) times monthly for system deployments, technical support during trials, and post-implementation support. Occasional overnight travel may be required for major system implementations.
